Roles & Responsibilities

Job Summary:

We are seeking a highly professional, discreet, and proactive Executive Secretary to provide comprehensive administrative and executive support to the CEO. The ideal candidate will be a UK National, native English speaker, preferably Female, with exceptional organizational and communication skills. This role requires a high level of confidentiality, initiative, and attention to detail.

Key Responsibilities:

  • Provide high-level administrative support to the CEO, including calendar management, travel coordination, and correspondence handling.
  • Screen and prioritize emails, phone calls, and meeting requests.
  • Draft, proofread, and format letters, reports, and other documents with impeccable grammar and style.
  • Organize and attend executive meetings, take minutes, and ensure follow-up actions are completed.
  • Coordinate with internal departments and external stakeholders on behalf of the CEO.
  • Handle confidential and sensitive information with integrity and discretion.
  • Prepare presentations and briefing materials for internal and external meetings.
  • Arrange complex international travel itineraries and logistics.
  • Perform personal assistant duties as required, including occasional tasks outside standard office hours.

Desired Candidate Profile

Requirements:

  • Language: Native-level English fluency (spoken and written)
  • Preference to UK National - Female.
  • Experience: Minimum 3 years as a senior-level Executive Secretary or Personal Assistant, preferably in a multinational or high-paced executive environment.
  • Strong knowledge of office management systems and procedures.
  • Advanced MS Office skills (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, interpersonal, and time-management abilities.
  • Professional appearance, strong sense of discretion, and a calm demeanor.
  • Ability to handle multiple priorities with a flexible, can-do attitude.
  • Bachelor’s degree or equivalent qualification (Business Administration or related field preferred).
