Job Description

Roles & Responsibilities

Executive Administrative Support

  • Provide high-level administrative support to two Directors.

  • Manage and coordinate complex calendars, meetings, and appointments for both executives.

  • Arrange domestic and international travel, accommodation, and itineraries.

  • Prepare executive correspondence, reports, presentations, and briefing documents.

  • Screen and prioritize phone calls, emails, and meeting requests.

Executive Office Coordination

  • Coordinate internal and external meetings, including preparing agendas and recording minutes.

  • Maintain executive files, records, and confidential documentation.

  • Track action items from meetings and follow up with relevant departments.

  • Ensure efficient day-to-day operations of the executive office.

Personal & Family Coordination

  • Assist with selected personal and family-related administrative tasks for the Directors when required.

  • Coordinate family travel arrangements, appointments, and schedules.

  • Liaise with service providers or household staff when necessary.

  • Assist in organizing private events or special arrangements.

Personnel & Department Coordination

  • Act as a liaison between the Directors and internal departments.

  • Coordinate with administrative and support staff when required.

  • Assist with organizing corporate events, executive meetings, and VIP visits.

Communication & Representation

  • Serve as a key point of contact between the Directors and internal/external stakeholders.

  • Maintain professional communication with clients, partners, and senior officials.

  • Represent the executive office with professionalism and discretion.

Desired Candidate Profile

  • Minimum 10 years of experience as an Executive Secretary, Executive Assistant, or similar senior administrative role.

  • Proven experience supporting multiple senior executives simultaneously.

  • Demonstrated record of employment stability in previous roles.

  • Experience handling both professional executive duties and personal administrative coordination.

  • Excellent written and verbal communication skills.

  • High level of confidentiality, discretion, and professionalism.
