Job Description
Roles & Responsibilities
- Manage complex calendars, ensuring optimal scheduling of meetings and appointments while anticipating potential conflicts.
- Act as the primary point of contact between the executive and internal/external stakeholders, facilitating effective communication.
- Prepare detailed reports, presentations, and correspondence, ensuring all materials are polished and professional.
- Conduct thorough research on various topics to support decision-making processes and strategic initiatives.
- Coordinate travel arrangements, including itineraries and accommodations, while ensuring a seamless travel experience.
- Handle confidential information with discretion, maintaining the highest level of integrity and professionalism.
- Organize and prioritize incoming requests, ensuring timely responses and follow-ups to keep operations running smoothly.
- Assist in project management tasks, tracking progress, deadlines, and deliverables to support team objectives.
- Manage office supplies and equipment, ensuring availability and functionality to create an efficient work environment.
- Facilitate team events and meetings, including logistics, agenda preparation, and post-meeting follow-ups to enhance team collaboration.
Desired Candidate Profile
- Minimum of 3 years of experience in a fast-paced administrative role, showcasing adaptability and resilience.
- Proficiency in Microsoft Office Suite and project management tools, ensuring efficient task execution.
- Excellent communication skills in English, with additional language proficiency considered a strong asset.
- Strong organizational skills, with a proven ability to manage multiple tasks and prioritize effectively.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with digital collaboration tools, enhancing remote working capabilities and team connectivity.
- Ability to work independently, taking initiative and showing resourcefulness in problem-solving situations.
- Strong attention to detail, ensuring accuracy in all tasks and communication.
